1. Introduction

Welcome to iCreateMyReality.org (“the Website”, “we”, “us”, or “our”).

Your privacy matters. This Privacy Policy explains what personal information we collect, how we use it, how it is stored, and when it may be shared with third-party services.

The Website operates a membership-based online community where individuals can create profiles, participate in discussions, communicate with other members, share content, and access community features.

By using the Website, you acknowledge that your information will be handled as described in this policy. Where applicable law requires consent for particular processing activities, we will seek that consent separately.

2. Information We Collect

We collect information that you provide directly, information generated through your use of the Website, and certain technical information collected automatically.

2.1 Account and Registration Information

When you register for an account, we collect:

  • Username
  • Email address

You are not required to provide your real name.

You may also choose to provide additional profile information, including:

  • Real name or display name
  • Profile photograph
  • Date of birth
  • Other information you choose to include in your profile

Providing a real name, profile photograph, or date of birth is optional.

2.2 Community Activity and Contributions

When you participate in the community, we may collect and store:

  • Posts and discussion contributions
  • Comments and replies
  • Reactions and interactions
  • Private messages and group conversations
  • Profile information and photographs
  • Course participation and progress
  • Points, achievements, and other community activity
  • Reports submitted to moderators
  • Moderation records and administrative notes

This information allows the community to function and helps us maintain a safe and useful environment.

2.3 Technical and Usage Information

When you visit or interact with the Website, certain technical information may be collected automatically, including:

  • IP address
  • Browser type and version
  • Device and operating system information
  • Login and session information
  • Referring website or page
  • Information about interactions with the Website

Some of this information is collected through WordPress, Membuild, Cloudflare, hosting infrastructure, security tools, and other services necessary to operate the Website.

3. How We Use Your Information

We use collected information to:

  • Create and manage member accounts.
  • Authenticate users and maintain secure login sessions.
  • Display member profiles and community contributions.
  • Enable discussions, messaging, and other community interactions.
  • Provide courses, track progress, and manage points and achievements.
  • Send registration, authentication, and account-related emails.
  • Send occasional community announcements and updates.
  • Respond to questions, requests, and support inquiries.
  • Review reports and moderate community activity.
  • Detect spam, bots, abuse, suspicious activity, and security issues.
  • Maintain, troubleshoot, and improve the Website.
  • Create and maintain website backups.
  • Comply with applicable legal obligations.

We do not sell members’ personal information.

4. Member Profiles and Community Visibility

Member profiles are visible to logged-in members of the community, rather than to the general public.

Information you choose to share in your profile, including your display name, real name, profile photograph, and other profile details, may therefore be visible to other registered members.

Community posts, comments, reactions, and other contributions may also be visible to logged-in members, depending on the feature and its settings.

Although the community is not publicly accessible to visitors who are not logged in, we cannot guarantee that information shared within it will remain private. Other members may copy, screenshot, download, or redistribute information you share.

Please exercise care when sharing personal information, particularly sensitive information about your health, relationships, finances, or personal circumstances.

5. Private Messages

The Website provides private messaging and group conversation features.

Private messages are encrypted. They are not ordinarily visible to moderators or administrators through the community interface.

However, the Website operator holds the encryption key. This means that, through sufficiently privileged access to the server or database, the operator may technically be able to access message contents.

Accordingly, private messaging should not be treated as an absolutely confidential or inaccessible communication channel.

Private message content is not included in notification emails.

6. Cookies and Similar Technologies

The Website uses cookies to provide essential functionality and maintain user sessions.

These may include:

  • Login cookies: Help keep you logged in while using the Website.
  • Remember-me cookies: Allow you to remain logged in between visits when you select the remember-me option.
  • Preference cookies: Store certain display or interface preferences.
  • Security and session cookies: Support authentication, account security, and normal Website functionality.

For standard WordPress login functionality, login cookies generally last for two days, while selecting “Remember Me” can extend the login session to approximately two weeks. Other cookies may have different lifespans depending on their purpose.

You can manage or delete cookies through your browser settings. Disabling certain cookies may prevent some Website features from working correctly.

7. Third-Party Services and Data Processors

We use third-party services to host, maintain, secure, and operate the Website. These services may process personal information as necessary to provide their respective functions.

7.1 OVHcloud — Website Hosting

The Website is hosted on infrastructure provided by OVHcloud.

As our hosting provider, OVHcloud may process information stored or transmitted through the Website, including account information, community content, technical logs, IP addresses, and other server-related data.

Website data is stored on hosting infrastructure located in Canada. Certain technical processing or support activities may involve other locations depending on the provider’s operations.

7.2 Cloudflare — Website Infrastructure and Security

We use Cloudflare as part of the Website’s infrastructure.

Cloudflare may process technical information associated with visits and requests to the Website, including IP addresses, browser information, device information, and website request data.

This processing may support services such as traffic management, website security, protection against malicious activity, and performance.

Cloudflare may process information in accordance with its own privacy and data-handling practices.

We do not currently use Cloudflare Web Analytics as a separate website analytics service.

7.3 Resend — Authentication Emails

We use Resend to deliver registration and authentication emails.

When these emails are sent, Resend may process information such as:

  • Your email address
  • Email content and delivery information
  • Technical information related to email delivery

Resend is used for registration and authentication communications.

7.4 Purelymail — Email Hosting

We use Purelymail for email hosting associated with our Website’s domain.

When you communicate with us by email, your messages and associated contact information may be processed by Purelymail as part of providing email services.

7.5 Bunny.net — Video Hosting

We use Bunny.net to host and deliver videos uploaded to the community.

Videos uploaded by members are stored and delivered through Bunny.net rather than being stored directly on our Website’s primary hosting server.

Bunny.net may process video content and associated technical information, including IP addresses, device information, and playback or delivery data, as necessary to provide its services.

7.6 YouTube and Vimeo — Embedded Videos

The Website may display videos hosted on YouTube or Vimeo.

When you interact with an embedded video or load an embedded player, the relevant third-party provider may collect information about your device, IP address, browser, and interaction with the embedded content.

These providers operate independently and are subject to their own privacy policies and data practices.

7.7 Gravatar — Profile Photographs

The Website uses Gravatar to retrieve profile images for members who have not uploaded their own profile photograph.

When this functionality is used, a hashed version of your email address may be transmitted to Gravatar to check whether an associated avatar exists.

If an avatar is available, it may be displayed alongside your community activity.

Gravatar is operated by Automattic and is subject to its own privacy practices.

7.8 Akismet — Registration Spam and Bot Detection

We use Akismet to help detect bots and spam during the member registration process.

In connection with this functionality, Akismet may process information such as:

  • IP address
  • Browser and user-agent information
  • Referring URL
  • Name or username, where provided
  • Email address, where provided
  • Website URL, where provided
  • Other information submitted during registration

This information is used to help identify automated registrations, spam, and potentially abusive activity.

7.9 UpdraftPlus — Website Backups

We use UpdraftPlus to create and manage backups of the Website.

These backups may contain personal information, account information, member contributions, messages, and other data stored on the Website.

Backup storage and processing depend on the backup destination configured for the service.

Backup copies may continue to contain information even after that information has been deleted from the active Website. Such copies are retained according to our backup practices and may be overwritten or deleted as backups expire.

7.10 OVHcloud Automated Backups

In addition to UpdraftPlus, we use OVHcloud’s automated backup functionality to help protect the Website and its data.

These backups may contain personal information and Website content. They are subject to the hosting provider’s backup and retention practices.

7.11 Future Third-Party Services

If we introduce additional services that collect or process personal information, such as analytics platforms, payment processors, or other integrations, this Privacy Policy will be updated as appropriate.

We do not currently use Google Analytics, Jetpack Stats, or an integrated Website payment processor.

8. Embedded Content and External Websites

Some pages or community contributions may contain embedded content from external websites, including videos and other media.

Embedded content generally behaves as though you visited the external website directly.

Those external providers may collect information about you, use cookies, track your interaction with embedded content, or associate your activity with an existing account if you are logged into their services.

We do not control the privacy practices of external websites. We encourage you to review their respective privacy policies.

9. Email Communications

We use email to communicate with members about account registration, authentication, security, and other necessary account-related matters.

We may also occasionally send community-wide announcements, updates, or other informational emails.

You can unsubscribe from optional community-wide emails at any time using the unsubscribe mechanism provided.

Unsubscribing from optional communications does not necessarily prevent us from sending essential account, authentication, security, or service-related messages.

We handle electronic communications in accordance with applicable Canadian anti-spam legislation, including Canada’s Anti-Spam Legislation (CASL), where applicable.

10. Data Retention

We retain personal information for as long as reasonably necessary to operate the Website, provide community services, maintain security, fulfill the purposes described in this policy, and comply with applicable legal obligations.

Examples include:

  • Account information: Retained while your account remains active.
  • Community contributions: May remain available while associated with an active account or as otherwise necessary for community operation.
  • Private messages: Stored as necessary to provide the messaging functionality and subject to applicable deletion processes.
  • Moderation records: May be retained where necessary to enforce community guidelines, investigate abuse, or protect members.
  • Technical and security logs: Retained as necessary for security, troubleshooting, and operational purposes.
  • Backups: May retain copies of information for a period after deletion from the live Website.

Retention periods may vary depending on the type of information and the reason it is being retained.

11. Account Deletion and Your Privacy Rights

Members can delete their own accounts through their account settings.

You may also contact us to request access to personal information associated with your account, request a copy of your information, or ask us to correct or delete information where applicable.

We will respond to requests in accordance with applicable privacy laws.

Please understand that deleting an account does not necessarily mean every associated piece of information disappears immediately.

For example:

  • Information included in existing backups may remain until those backups expire or are overwritten.
  • Certain information may need to be retained for legal, security, administrative, or dispute-resolution purposes.
  • Some community contributions or records may require additional handling depending on their relationship to other members or community activities.

Where appropriate, we will take reasonable steps to delete or anonymize personal information that is no longer required.

To submit a privacy request, contact:

[email protected]

12. International Processing

Although the Website is hosted in Canada, some third-party providers may process or store information in other countries.

This may include information processed by email, video hosting, embedded media, spam protection, website infrastructure, or other external services.

When information is processed outside Canada, it may be subject to the laws and lawful access requirements of the jurisdiction where it is processed.

We use these providers as necessary to operate the Website and its community features.

13. Children’s and Teenagers’ Privacy

iCreateMyReality.org is intended for individuals aged 13 and older.

Individuals under the age of 13 are not permitted to register for or participate in the community.

If you are between 13 and 17 years old, we encourage you to discuss participation with a parent or legal guardian before creating an account or sharing personal information.

Younger members should exercise particular care when sharing personal information, photographs, contact details, or sensitive personal experiences.

We do not knowingly permit individuals under 13 to create accounts or participate in the community. If we become aware that an individual under 13 has provided personal information or created an account, we will take appropriate steps to address the situation, including deleting the account and associated information where appropriate and subject to legal obligations.

We handle personal information belonging to all members, including teenagers, in accordance with applicable privacy laws. Where applicable law requires parental or guardian involvement or consent for particular processing activities, we will follow those requirements.

Parents or legal guardians who have questions or concerns about a minor’s personal information may contact us at:

[email protected]

We take reasonable measures to protect personal information and maintain the security of the Website.

These measures include:

  • Secure authentication and password handling.
  • Encrypted private messaging functionality.
  • Server and hosting security measures.
  • Security-related monitoring and maintenance.

We cannot guarantee that unauthorized access, data loss, or other security incidents will never occur.

Members are encouraged to use strong, unique passwords and exercise caution when sharing personal information.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in the Website, its features, third-party services, or applicable legal requirements.

When changes are made, the updated policy will be published on this page with a revised “Last updated” date.

We encourage members to review this policy periodically.
